Leasing a rental sounds simple until you see how many ways it can go wrong. We pull back the curtain on the full leasing timeline and explain what actually happens between “the property is ready” and “keys are in the tenant’s hand,” including the steps most private landlords skip when they list on social media and take the first person with cash.

Why Leasing Takes Longer

Okay, hey, welcome back to another episode of the Rick and Shauna Show. Today we are talking about the leasing timeline. Anything that goes on behind the scenes when it comes to listing and leasing a property.

Absolutely. And this is probably this is probably one of the biggest things that comes up with owners, especially owners that maybe have not been new to this.

Yep.

And it's definitely one of the challenges that we have sometimes communicating. They have a certain expectation. Right. As to how quickly these properties will rent. And there's a lot more that goes on into it than most people know.

Yeah, especially when you're transitioning from doing it on your own. You know, you throw up a Facebook ad typically, and you know, we hear a lot of property owners say, Oh, I've gotten, you know, 50 Facebook inquiries. And okay, you can that can happen.

Yeah, and that's an important point because you, you know, you think about it, it's if you do have one property, yeah, you can focus all your attention on that property. So could the timeline be smaller or could it be shorter? I mean, it could be. It's not a guarantee that it will be, but you know, it could be because if me and you were marketing a property and we only had one, and we could focus every day on that property, it it does change things a little bit.

It does. And you know, my point for that was basically like, yeah, you're on your own. You, you know, as a private property owner, there's a lot of things that we find that are done differently, right? We have a whole process, we have a whole team that's working on this property, and obviously other properties since we we you know list and lease multiple. But Facebook is probably not always the best place to go. You know, yes, it's great for exposure, but the inquiries we the experience we have had inquiries from Facebook doesn't necessarily equal any good applicants, let alone one or two.

They're usually unqualified.

Right, right.

SPEAKER_01

And that's the biggest challenge, is we find that hey, there's a lot of activity, but um if the activity doesn't really mean anything, I'd rather have less activity with more qualified.

Exactly. Which is why we have some things in place.

SPEAKER_01

Right, right. So, you know, basically, um, you know, there's a lot that goes on behind the scenes to to get to the point where you're ready to market the property.

That's right.

SPEAKER_01

So our team, once a either an owner does his own turn or we do it for him, which we we can do that as well, um, if that once that process is finished, um the department here at uh at icon um releases those properties to us. Okay, the leasing department. And at that point, agents go out to the property and they take a look at that property, get pictures, they make sure that these pictures are solid, they look good, and they

also do a last sweep on the property just to make sure is there anything glaring out there that could create a problem. Right. It's kind of a last check.

Yeah, and in multiple um unit situations where you have a building rather than a single family, they're looking for utilities. You know, just that last glance at what could be a tenant responsibility versus what's an owner responsibility. Make sure we get the lease right.

Yep, and that is so important. Yeah, that is so important. I'm glad you brought that up because that is a big one. Because many times when these owners bring the properties to us, sometimes they've never seen them.

That's right.

SPEAKER_01

And they really don't understand, like especially a multi-tenant where you've got a house that's maybe converted, yeah, and there's an up and down unit. Do is everything separate? Is the water separate? Is the gas separate? Electric, all those things. And those are big things when you start putting leases together.

Yeah, and oftentimes when they have a new purchase, you know, they're given one set of information or they're given nothing and they just assume, and then you know, it's our job to go and make sure, you know, that we check and make sure everything is the way they they have been told, or that they think it should be. And if it's not, it we have to explain to them what happens next.

Correct.

You know?

Correct. Yeah, so at that point, then once we, you know, somebody goes out, they take their pictures, those pictures in turn get sent back to us. Right. Okay, we take a look at those pictures and make sure that the angles are good, everything's looking good in the pictures. At that point, we're ready to post the uh post the listing. Okay. And of course, before we post, we want to make sure that we have um you know pricing correct, too. So that's another big thing is we make sure that we have the pricing right. That's part of the things that part of the thing that happens before we actually post the property. But once those things are all in place and we're ready to uh to post them, um, we put them in our system that uh syndicates those out to the major players, the major sites. Right, right. You know, that would be your you know, the big ones. There's a number of other small ones that go to out to. I think there's probably 20 to 25 sites that it goes to.

Yeah.

But the smaller sites, nobody even gets there, to be honest.

No, we use all the major ones. So Realtor.com, apartments.com, all the other ones that we mentioned, it actually can also be put on Facebook Marketplace, but we would rather, if we're gonna do Facebook and social media, we would rather put it on our page. You know, we have the Rick and Shauna team page that we do do a lot of advertising on as well. So that goes out there on those sites. And and you know, the Zillow seems to be the biggest one though, that everybody knows, right?

I would say for sure Zillow, because that's also truly on hot pads. A lot of people don't understand, but those are all tied in.

They're all together. Yeah.

So those are the ones where most of the people land. Um so once we syndicate out there and it starts to hit the market, we start to get um showing requests. We have a system that automatically allows people to schedule showings, um, which is great because um we don't have to have somebody answering a phone to schedule a showing, which creates its own set of problems because somebody may not be available all the time. So this is a way where somebody really just can't say, hey, I was not able to schedule a showing. That just does not happen.

No, no, no, no. So we have a team of leasing agents that we um have, you know, on the Rick and Shauna team, and their schedules get opened up just for leasing. This is what they do. So when their schedules get opened up, they get assigned a territory, and then anything that or I'm sorry, any property that you know a prospect wants to see is on our website. They go to our website, they're directed to our website from whether it's ZillowApartments.com, however they've seen it, they're directed to our website to be able to schedule a showing. And then from there, they just pick their day and time and it gets assigned to a leasing agent. And you know, all of our show-ins, we don't do self-directed show-ins. And I think that's an important thing to, you know, announce too. We just don't we don't like that method. Um, we would rather have an agent accompany to answer questions, they call ahead of time, you know, to kind of pre-qualify the prospects so that we're getting

Getting The Property Market Ready

the best possible people to the showings that could qualify if they like the house and they want to go upline.

And there's also a liability issue. True. You know, with uh with showings that are done electronically, there's there are locks that you know you can put on there and you can put you can have an electronic code that's sent out to them via Bluetooth, um, and they change as um you know tenants view the property. But the challenge is is that there's some liability there. They may not shut the door all the way. Um, they somebody may go in, sounds terrible, but somebody may go in and open a window.

Well, you just have to be prepared for everything, right? So you kind of have to think on all levels, and all the security in the world would is great, but that gets expensive, and that doesn't really 100% you know of the time prevent something like that from happening. Right. And we would rather have that, you know, that knowledgeable person there, anyways, just to answer the questions. Uh there are lots of questions that are.

And you get a feel for people. That's right. You get a feel for people, the applications that come in. Uh, you know, agents remember these people. It's like, oh, they seem like really nice people. So it's just it's there's it's the whole process. You know, you get a read on that, you get, you know, we obviously um we'll get into it a little bit here, our screening process. But those are all important things that over years and years of doing this, we have figured out that it is really the best way of doing it.

And honestly, prospective applicants get a feel for us too, because there are so many scams out there that you know you have to watch for. And we want to be able to present that we are here, we're real, you know, we're experts, and we are watching these properties, and we're here to answer your questions. So, you know, we are a real place. We are real.

At the end of the day, then nobody really wants to talk to anyone, right? I know. We have all this, we have all this technology out there, and it's just there's actually a person that you know shows up. So um that is part of the process. You know, once those showings and things start coming in and those automatically get booked on Asians' calendars, um, we start getting applications in. Right. You know, so once those applications come in, they come into our system, that's where we start the you know, second part of that process. Yeah. Okay, so the application has come in, we do national background checks. Um, we do also we look at local, uh we look at local background, which national background checks sometimes pick the local stuff up, but sometimes it doesn't. And that's a lot of times where owners that are doing it on their own, that's something they don't necessarily think about. That's right. How are we on a national background check? It's like, yeah, but we've done this and we've seen where it doesn't pick it up, and you look and there it is. Yes, you know, they've had a couple evictions or whatever it is. So, and we understand that life happens, you know, and we're willing to work with people, but you know, we're trying to do everything we can to make sure that we're putting the best tenant that we can in there.

Which is the great thing about having a property management company, because if you are doing it on your own, a lot of times when we do get new um clients, you know, who have rented properties on their own, there is no background check they're even running at all, let alone a local, you know, they're not really taking pay stubs or IDs, they're really not qualifying them in any way, except when someone comes to a house and says, Hey, I got money. I like this house, I want to run it. What do I have to do? And a lot of times, you know, they obviously money is it's enticing. Yes, it makes the world go wrong, right? And it makes this business profitable. So I understand the thinking, but that's where you have to kind of stop.

Pump the brakes.

Yes, and say, Okay, but I have a process. You know, because we've had to do it. We have a lot of people that approach us and say, Okay, I got the money right now. Okay, well, you have to go through our application process, and what happens usually? They disappear.

They disappear.

SPEAKER_00

That's right. So, you know, it is a good thing, and that's why you have a property management company. I wanted to back up just a little bit though, before we go any further with the applicants. Um, I want to talk about a little bit, because we get a lot of this from our property owners, about what we do as far as um when a property is on a market and we don't have applicants, right? So if we're we have a property that's on the market, we are processes that we meet every week and we go over all of the um properties that are on the market and we see where the activity is. So with Icon and with the Rick and Shauna team, we are paying attention. We're looking at the property, we're reviewing the activity, we're reviewing the feedback, we're reviewing everything every week, making sure our ad still looks good, our pictures still look good, seeing what's going on from our agents' um point of view

Syndication And Scheduled Showings

and making suggestions, right? Yeah. Okay, what do we need to do now? Because it still isn't rented. So whether we have high activity and no applications or no activity, you know, there's always something, right? So we're always reviewing those. We send reports out to our owners.

And that's an important one. I think so. Yes. As to what's happening, they can see the showing activity. Um, and it's important to us too because it's a way we can evaluate what's going on at the property. And if we're not getting um people to book showings, or we're booked, or there's a lot of showings getting booked, but there's no applications come in, we know there's a problem somewhere. Right, right. You know, and that problem could be a number of things, it could be where the property's setting, it could be, hey, I wasn't afraid of the price, so I booked the showing, but when I got there, it didn't maybe look like I wanted it to look, or there was maybe a few things that I didn't necessarily like. So it wasn't a good fit for me.

Right.

So there's a lot of things that go into that, but that's what you have to start to kind of whittle down.

Right.

SPEAKER_01

Like what, where is the problem at? And sometimes that's not an easy thing to figure out. Because it because a lot of owners are looking for feedback from potential tenants. Well, potential tenants when they're out there, oh yeah, that place looks great. We know we very seldom get somebody say, Well, you know, I'd rent this place if you know, it just doesn't happen that often. So we just have to, we we have to put our heads together to figure out what is the challenge. What's the challenge there's something that doesn't look great about the house? Is it where it sets? There's all these things. So usually we'll come to some time type of uh conclusion as to where that problem could be. And a lot of times it's it's just pricing. Yeah, usually we're we're priced a little too high, and believe it or not, five dollars, ten dollars, like you know, if you're at you know, ten twenty-five on a property, you take it down to nine ninety-five. That seems like nothing, right? But for somebody that's looking at a property, sometimes all of a sudden all the applications start coming in. Yeah, when you're just price points.

Yeah, you get under a certain price, you know, most people will put in like their top top price that they're looking for. This is the max I want to pay. And if it's at that threshold, and then they're not even seeing your property. Another thing is because like right now, there there are a lot of properties on the market. So, yeah, so you're you're competing with a lot of other properties. So it's not just what does mine look like and what is mine priced at, and I want to get top dollar, it's you also have to look at your competition, and that's what we do. Yeah, you know, so there's a lot of different things that go into it. So not only are we, you know, we are keeping them in the loop though, which is huge, I think, for our property owners, because most of them are not here, right? They're out of state, they don't know what's going on, they rely on us. Um, but we're looking at it every week and we're reviewing it and we're reaching out and saying, hey, okay, here's what we're noticing, this is what we think needs to be done. Eventually we get to that point where now we're back at having applicants. So all of that takes time, right? So when you're saying, you know, a property management company like Icon, where we list and lease your properties, and what's that process look like versus a private property owner that kind of puts it on the market, takes whoever

Screening That Owners Often Skip

comes in, throws somebody in there because they have money. Well, yeah, you're gonna rent it a lot faster if you're doing it that way. But we have a process and we have we're held to a higher standard. You know, as a property management company, we are taking care of other people's investments.

Right, you know, yeah, we want that timeline to be. I mean, uh traditionally, we're we would like to see a property rent within 30 days.

SPEAKER_00

Absolutely. You know, under that would be great.

SPEAKER_01

And under that would even be better. But you know, that's kind of like the expectation that we kind of set because by the time you get everything everything done, even though when you put a property on the market, it takes a minute for it to kind of marinate and get out there for people to start seeing it. So that's a few days there. So ultimately, we would like to get it done in that time frame. And once we get outside of that time frame, that's when we start looking at like, okay, what's going on?

Like the bigger picture.

SPEAKER_01

Yeah, the bigger picture. And it's like those are kind of the things that drive us to. I mean, we're always looking at it, but once we start to get out there in time, you know, we're starting to look in a little deeper, like, hey, there what's going on here.

Right, right. And and sometimes that involves the the property owner. Now there's a conversation, you know, let's get them on the phone, let's talk this through a little bit. Ultimately, though, everything rents, right? So now we're back to the application process. Yep. They do apply through our system. We do have a third party that runs all of those applications, um, making sure that we have everything that we need, everything that, you know, is is required to accompany the application. If not, she's reaching out and she looks at these things sometimes multiple times a day. Um so that process, you know, she goes through that process, then we get an approved tenant.

Yep. So once we get an approved tenant, then there is a message that gets sent out to them that basically stating, hey, you've been approved for the property. Um, and it gives them next steps.

Right.

SPEAKER_01

The next next steps that they they need to do. They need to pay their first month's rent plus deposit.

SPEAKER_00

Well, deposit needs to be brought brought in within 48 hours. I think that's another thing. So we're not just out here, you know, we put timelines on things because until we get the deposit, we don't even take the property off the market.

So that's a good that's a good point, yeah, because that's an important one because many times, you know, people get approved and they say, Hey, I'm good to go, and then you take it off the market, they don't follow through.

That's right.

SPEAKER_01

And now you've lost X amount of time on the market. You know, so if somebody's not gonna follow through, we're gonna try to backfill that very quickly. Yeah. So there's there could be multiple, and there and there could be multiple applications on a property, and one may look a little better than the other, so they're gonna maybe get first shot at it. But if it doesn't work out, we're gonna try to move somebody in quickly to backfill that because we're not just gonna leave it, leave it go. Right. Um, so that's an that's an important piece. I'm glad you brought that up. Um, but you know, once that happens, then they're given direction. That's right. Okay, and there's certain things that they need to do, process that they need to follow, and our agents are setting up time frames. Now, our time frame is we don't want to give somebody more than 30 days.

That's right.

And the reason that we do that, and that seems like a long time, because a lot of owners are like, what do you mean, 30 days? It's like, well, put yourself in their position. If they were renting your place, you would want to notice. Yeah. Okay, so we try to make sure that we won't go out further than that unless an owner gives us permission to do it.

Right.

But we try to stay in that time frame, and usually it's less.

Usually it's less, yeah.

SPEAKER_01

But they have up to 30 days because they are they are actually that's the tenant you want because they're being courteous to their current landlord.

Well, and they're following the rules. That's right.

SPEAKER_01

So that's right. So that's an important piece.

SPEAKER_00

Yeah.

SPEAKER_01

Okay, so once that happens and we have an approval, they follow through on everything they said they were gonna do, we then in turn um get the lease put together. Okay, so we have that lease put together um and we have a move-in date, that lease gets sent to them electronically, and they sign off on it. Um, they have to get utilities put in their name. All these things have to be done before they take possession or get keys to that property. So we're really critical on that stuff because we don't want anything to go wrong there. Right. You know, they gotta make sure that they do everything that they need to do. Yeah. Once that happens, we meet them at the property, we take pictures of the property as it sits. Because we want to make sure that, you know, hey, everything is working at the property, our agents check stuff. Okay. Again, they turn the water on, they'll turn the furnace on, they'll make sure windows open and close, they're making sure smoke detectors are there. Um, these are very important things. They're trying to make sure that when they hand that property

Weekly Reviews And Price Corrections

over, they're leaving, they're handing it over in the best possible condition as they can. Yeah. Which is going to um solve a lot of problems in the future. Right. Because if if everything is working, they've checked it, we know we're going to eliminate a lot of things out of the gate. And that's what we want to do because we don't want somebody moving in having problems right out of the gate. It's just kind of a bad look.

Yeah, it doesn't, it doesn't make for a good, you know, tenant relationship or a first impression. Yeah, it just we want to leave that obviously they've got a lot going on, they're moving all of a whole household. You know, we want to make sure with the the property that they're moving into, they have very minimal problems. And and anything that is maybe something that isn't working properly that we do fix, we're sending over to the office right away, and we're already assigning somebody to go out and take care of it. Uh so you know, we yes, our client is the property owner, but uh a happy property owner has a happy tenant, and that that just sets the tone for everything.

It does, it does. And and so, you know, so you think about that, that sounds like when you take it from the start to the finish, it does sound like a lot because it is.

It is a lot, there's a lot that goes on there.

SPEAKER_01

So that that stuff all gets done in this, you know, we want it to be done in this 30 day time frame, but you know, let's talk a little bit about. What happens when that doesn't happen.

Right.

SPEAKER_01

You know, so we start getting out past that time frame. And traditionally, what will happen is everybody starts to get a little nervous.

Right. Yeah.

SPEAKER_01

The owner gets a little nervous. And so do we.

SPEAKER_00

We get nervous.

SPEAKER_01

We get nervous because we, you know, our job is to get those properties filled. And of course, we want to get the best possible pricing we can get for that owner because it, you know, that's the name of the game. And so we want to get as much as we can for the property, but when we get to that point where we have to make that decision that, hey, look, we're going to need to do a reduction.

Yeah.

SPEAKER_01

And that reduction, like I said, sometimes it doesn't have to be much. But we're going to try to get that reduction done and try to get somebody in there as quickly as possible. Because traditionally, what can happen is that when people get nervous or owners get nervous, they want to move quick. They want to move quick. And if you move too quickly, okay, and you don't take the time, you could put a tenant in there that potentially could be a challenge. Okay. Yeah. And the worst, I will tell you the worst thing that can happen is you put somebody in, they don't follow through, they don't do the things they're supposed to do at the property, and in three months or six months, they're falling behind on rent. Next thing you know, they're getting evicted. And of course, what happens?

Huge turn.

SPEAKER_01

Huge turn. And when we say turn, that basically means that when that happens now, depending on how that uh tenant left that property, and traditionally, it's if they're leaving or getting evicted uh early, it's not very nice. It's not great.

Yeah, it it doesn't look great, right? So in you know, that process, then you have a a rehab that you're not gonna like. And you know, so all of

Approval Steps Deposits And Move In

those steps are to prevent as much as possible from that happening, which is why we have certain you know processes in place, we have certain um tenant screening policies in place, and when we veer from that because a property is sitting just a little bit longer, when we go away from that, it usually doesn't work out anytime. We say this all the time, don't we? Yes, every time that we just go off the process just a little bit or accept something just a little bit, you know, under income or under credit score, something like that.

We don't just do that.

SPEAKER_00

No, yes, for sure. Yeah, that if it's not if it doesn't meet our requirements, we talk to the owner.

Correct.

SPEAKER_00

Maybe something is there and it's just something very small. But when you have more than one, you know, qualification that's not being met, and an owner just wants to get somebody in there because they need that income, it never works out.

It doesn't.

SPEAKER_00

Ever.

SPEAKER_01

Yeah.

SPEAKER_00

And and it's I don't know how many times like we could shout it from the rooftops, it's not gonna work. Yeah, don't do it.

SPEAKER_01

Yeah, and that is that is one of the things that you want to try to prevent because that that turn is so damaging. It's hefty, man. It's it is, and you know, especially if somebody's a little thin anyway. So somebody bought the property and hey, they don't have a lot of cash flow in the property. Yes, you know, and then you get a big turn in there, and they're not gonna see cash flow for maybe over a year, they're not gonna see cash flow. So it's something that you want to prevent um if at if at all possible. Now, all those steps that we do, there's still no guarantee. We've seen people that look like rock stars on paper. I mean, they really do, and unfortunately, occasionally it does happen. We've done, you know, we've done everything right. Yeah, the tenant looks great, um, and just so happens that this particular property is the time that it happens to them. And the other thing is that it's not always a tenant doing the wrong thing.

Right.

It could be a job loss.

SPEAKER_00

Yeah.

SPEAKER_01

There's many things that can go into it.

SPEAKER_00

Yeah, that's a good point. Yeah.

SPEAKER_01

But and and that part of it, honestly, uh, from a tenant standpoint, that's not really something they can control.

Right.

SPEAKER_01

But traditionally, if the wrong if somebody that you have maybe cut a few corners on screening, whatever it is, it's not usually a job loss.

Right. Yeah, it's just negligence, you know, and unfortunately. So but we try to prevent that. So, you know, with our leasing timeline, we just kind of wanted to jump on here and say, here's what goes into it. So it's not just a, hey, my my property's ready, put it on the market, accept that person, and you know, everything is fine with the world. There's a lot of things and steps that go into that, and all of that is to just do our best to make sure that you're getting the best applicant, staying in compliance,

When Rushing Creates Expensive Turns

and you're, you know, getting a profit on your property. And sometimes we have to be a little strict with that to make sure that we're getting the best possible tenant.
